CBS Help - WorkFlow Use  

Staff Use of WorkFlow Management System

Once the WorkFlow processes, activities and steps have been established, the user can handle administrative tasks with full system support.

Entry to CBS WorkFlow for administrative staff users is simple and specific. The user signs onto the system in the normal way, by providing their username and password. Using the "WorkFlow" access button on the sign-on screen, the user is presented with the tasks that they can directly work on. This is made possible because CBS recognises who is capable and authorised to do each step on each work item. There is no need for the supervisor to go searching for the appropriate person to do the work. There is no wasted staff time, waiting for work to be allocated.

CBS WorkFlow not only presents the next work item to the user, it also provides direct access to the relevant database record and screens so that there is no wasted time, finding the file, scanning through irrelevant history or documents, or waiting for someone else to supply records, documents or information. It's all there, right at the user's fingertips. This provides a great deal of satisfaction to the staff member and increases quality, effectiveness and throughput.

When the work is done on each work item, CBS automatically files the documents and records back in the right slot. All the user has to do is nominate whether the document or record is complete or is "work in progress" and still needs more work. The document, interaction, note, or other types of records can be added to historical papers, current papers, and / or future papers.

WorkFlow is used to provide staff with specific [yet concise] instructions on what they need to do to process a particular work item, then pass it on to the next person or section within the organisation for subsequent processing. When each step has been completed, the user simply checks off the steps performed and "Passes" the item back into the "Pool" for the appropriate person to pick it up.
